Customer terms

The fixed pilot price is $600 USD: $300 before work begins and $300 after delivery of the agreed workflow, documentation, and walkthrough. There is no recurring XenLabz subscription. Before you pay, both parties must accept a written scope by email identifying the workflow, deliverables, acceptance criteria, access requirements, software costs, and delivery date. These terms form part of that agreement; any expressly agreed written variations take priority.

The pilot includes up to six delivery hours across discovery, setup, testing, documentation, and one team walkthrough. The time cap does not authorize extra charges or replace the agreed deliverables. If the task will not fit, we discuss a revised scope before proceeding. Additional work and third-party purchases require your written approval.

Delivery timing starts from receipt of the deposit and the agreed access and inputs. If either side encounters a delay, we communicate and agree a revised date. Delivery means the agreed workflow and instructions are provided and the walkthrough is completed, unless you agree to receive a recording or written handover instead.

You have seven calendar days after delivery to report any failure to meet the written acceptance criteria. In-scope corrections reported during that period are included without extra fees. New features or changed requirements need a separate agreement. The $300 balance is due within seven calendar days after delivery; if you report an in-scope issue in that period, the disputed balance is paused until the correction is delivered. Silence is not a waiver of your legal rights.

Email hello@xenlabz.com to cancel. Before delivery work begins, the deposit is fully refundable. After work begins, cancellation work is valued at $100 per documented delivery hour, capped at the $300 deposit; any unused deposit is refunded and no further cancellation balance is due. XenLabz provides a summary of work completed and any usable work paid for.

If XenLabz cancels or cannot deliver the agreed scope and you do not accept a revised scope, your deposit is refunded. If an agreed requirement cannot be corrected, we offer a proportionate refund for the undelivered part, up to the amount paid. Approved refunds are initiated to the original payment method within ten business days; your bank controls when funds appear. These terms do not limit rights that cannot legally be excluded.

You keep ownership of your materials and accounts. Provide only data you are authorized to use, preferably redacted or synthetic examples, and use limited, revocable access rather than emailing passwords. We agree any use of confidential information, AI providers, or integrations before setup and use your information only to deliver and support the agreed service.

After full payment, you own the workflow configuration and documentation created specifically for your pilot. XenLabz retains its pre-existing templates, methods, and reusable tools and gives you a continuing right to use any included elements for your own business. Third-party software remains subject to its provider's terms and fees. Access is removed at handover unless otherwise agreed; working copies of customer content are deleted within 30 days after the correction period, except records needed for billing or legal obligations.

You remain responsible for reviewing outputs before use and authorizing any action taken in your systems. AI outputs can be inaccurate; no particular revenue, time savings, or error-free output is promised. The pilot excludes regulated decision-making, autonomous outbound communications, custom applications, complex integrations, migrations, and ongoing support unless separately agreed. Provider outages and later software changes may affect the workflow; changes after the included correction period require a separate scope.
